Four things that get tagged on nearly every first walk-through.

None of it began as carelessness. Each one started with somebody keeping a clinic day moving, then quietly outlived whatever made it necessary. Two of the four usually raise a flicker of recognition.

At nine in the evening the on-call clinician opens the record system from a machine they bought themselves, which is exactly what keeps a clinic responsive. It was never enrolled and nothing updates it. Lose it and there is no route to the thing and nothing to erase.

Incoming faxes stopped printing and started saving, into a share that has been swelling ever since. Nothing indexes it, nothing ages out of it, and nobody wrote down who could open it across three changes of staff.

Every night the job reports success, and everybody has quietly taken that as a promise the data returns. No chart has ever been pulled out of one. The promise stays untested right up to the morning it counts.

Immediate, delayed and referred are shorthand of our own for how soon a piece of security work needs a person on it, and they carry no meaning beyond that. Referred marks something no station here can treat, handled elsewhere instead.

No bundles here and no tiers either. A unit and a month is how all of it is priced, and however many lines end up tagged, one invoice arrives. Every station note states plainly what the software will do, the cost of one unit of it, and where our part of the job stops.

None of this software came from us. Running it is what we do.

Managed security likes to hint that its software was invented on the premises. This lot was not. Under MediDefense IT are commercial platforms chosen for surviving clinical environments, licensed through Fortify 24x7, and watched all day by our own engineers. Anybody at your clinic should be able to name what runs on their hardware and telephone somebody about it.

Reads behaviour and acts alone, on machines and on cluster nodes, reaching its conclusion locally instead of waiting for a connection.

How the first fortnight actually goes.

There is no steering group and no discovery phase charged by the hour. Two weeks covers most clinics from beginning to quiet. Tuning around clinical software is the slow stretch, never the business of getting agents out of the door.

ORDER 01

Intake call

Thirty minutes. A machine count, which tenants are in play, who holds administrative rights, what your practice management supplier will and will not permit, and which equipment its manufacturer has sealed shut. Out of that comes a set of lines with a monthly figure beside them. Nobody produces a slide deck.

ORDER 02

Card on file

Tag what the clinic needs and pay for it. Card details go into a page Stripe serves, so nothing of the kind arrives here. Charging is monthly and up front, and FORTIFY 24X7 is what the statement prints.

ORDER 03

First rounds

Agent packages built for your hardware, plus enrolment links for each tenant, appear inside the portal, and generally do so before the clinic locks up for the evening. Windows, macOS, phones and every cloud account each arrive by a route of their own, and none expects anybody at the clinic to learn a console.

ORDER 04

Tuning week

The roster learns your clinical suite, the filter collects the exceptions it needs, and copy windows get sized against real volumes instead of an estimate. Two or three brief conversations with us across that week is what to expect.

On the board

What the software finds goes to our engineers, not to reception's inbox. The portal carries the lines, the agent packages and every consult ever raised, with a human being sitting at the other end.

Six things handed straight back.

Sorting properly means saying out loud what cannot be treated at the station. Security software is a set of technical safeguards. It forms one part of a HIPAA security program and comes nowhere near being the whole of one. Read the six below ahead of anybody else's marketing, and ahead of the rest of ours.

  • Nothing here makes you HIPAA compliant. What sits below supports technical safeguards under the Security Rule. Being compliant describes an entire organisation, measured against its own risk analysis. No vendor anywhere can sell that condition or issue a certificate saying you have reached it.
  • Your risk analysis, policies and training stay yours. Dated output comes to you, ready for a risk analysis to quote and a training file to hold. Producing the analysis, adopting the policies and operating the sanction process behind them is work no supplier can do for a clinic.
  • Breach determination is not ours to make. Something happens, we investigate it, contain it, and write down what we found. Deciding whether that amounts to something reportable belongs to your practice and its counsel, working from the record we hand across.
  • Some clinical equipment cannot take an agent. Imaging units, chairside scanners, analysers and anything else the manufacturer sealed will generally not accept software without putting support at risk. They get a boundary and a watch on that boundary, which is not something sold on this board. Expect a plain list of which of yours fall into that group.
  • A Business Associate Agreement is paperwork, not a product. Fortify 24x7 signs before anything is turned on. That signature moves none of your duties across, and it says nothing about suppliers your clinic contracts with directly.
  • We are not your insurer and we are not your counsel. Nothing here underwrites a loss or replies to a regulator. Plenty of carriers ask whether controls of this sort are running before they will write anything, which is a different matter altogether from the cover itself.

Twenty four lines, and a unit behind each of them.

Billing supplies each rate the moment this page opens, so a figure printed on a card is the figure the invoice will carry. Tag what the clinic needs, put the numbers right on the chart, and pay once it reads correctly. All of it merges into a single monthly subscription.
